Privacy policy – Kela taxi joyrneys

Taksi Helsinki Oy, 0838031-9, (“Taksi Helsinki” or “we” and Kansaneläkelaitos (“Kela”) have agreed a contract concerning the organisation of a taxi journey service, the combination of journeys, and dispatch, based on which Taksi Helsinki shall provide the aforementioned services by order of and on behalf of Kela. As the controller, Kela is responsible for processing your personal data in accordance with data protection legislation.

Kela shall act as the primary controller for your personal data, which will be collected and processed in connection with taxi journeys reimbursed by Kela for purposes specified by Kela, such as for the provision of taxi dispatch and for journey combination and dispatch services subject to direct reimbursement under the Health Insurance Act. We will act as the personal data processor solely for fulfilling the purposes specified by Kela on Kela’s behalf so that we can implement the services outlined in the contract agreed with Kela.

As controller, Kela is responsible for specifying the legal grounds for personal data processing and for other controller obligations laid down in data protection legislation. We are not responsible for personal data collected and processed by Kela, nor for the processing methods used. We may also act in a restricted capacity as controller if we process your personal data to handle feedback, for example. More information about how we process personal data as a controller is available in Taksi Helsinki’s privacy policy, which can be found here.

We process the following personal data by order of and on behalf of Kela: 

• Basic and identifying information plus contact details
• Information about basic social assistance payment commitments
• Order information plus personal data that is necessary for the provision of the taxi journey and direct reimbursement method (such as information concerning whether you need a special vehicle or additional space for mobility aids)

Please note that in addition to the above, Kela may process other personal data for its own purposes.

In order to fulfil the purposes specified by Kela, Taksi Helsinki will carry out the following general personal data processing procedures:

• Reception of taxi bookings by telephone, text message, or online
• The distribution of the booking and related personal data with an available Taksi Helsinki carrier who has a valid contract to provide journeys reimbursed by Kela together with Taksi Helsinki
• Transfer of data concerning taxi journeys to Kela

As controller, Kela determines the storage period of your personal data in order to fulfil its purposes. Kela’s privacy policy contains information about the storage periods specified by Kela.

We share your personal data that is necessary for the provision of the taxi booking with the carrier so that we can provide you with the services outlined in the contract agreed with Kela.  In addition to this, we will also share your personal data with other parties as necessary, though always ensuring that your personal data is processed appropriately. We may transfer your personal data to our subcontractors, who process personal data on our behalf. Such subcontractors include the taxi dispatch system provider, the telephone system provider, and the IT infrastructure service provider.

Under applicable data protection legislation, you have rights relating to the processing of your personal data, such as the right to access your personal data and the right to have inaccurate data rectified. If you decide to exercise your rights, please first contact Kela at tietosuoja@kela.fi.

In order to exercise your rights in relation to personal data that has been processed by Taksi Helsinki as controller, you can contact us at any time. If you wish to submit a request concerning your rights, we will process your personal data to the extent necessary to fulfil your rights in connection with your request. Submit a request to exercise your rights by contacting us at  tietosuojavastaava@taksihelsinki.fi. We may request that you specify your request in writing and verify your identity before your request is processed.

If you feel that your personal data has been processed in conflict with valid legislation, you may submit a complaint to the supervisory authority in the EU member state in which your place of residence or employment is located. You can find the contact details for the data protection ombudsman in Finland at tietosuoja.fi.

We carry out appropriate procedures (including physical, digital and administrative procedures) to protect personal data from loss, destruction, misuse and unauthorised access or disclosure. To mention one example, manual materials are stored in a locked facility to which access is only granted to named persons, and digitally processed personal data is protected and stored on our information systems to which access is restricted only to those persons who need the data in question to perform their work tasks, and who have personal user accounts and passwords for the systems.

Please note that even the most appropriate procedures cannot prevent all possible breaches of data security, however. In the event of a breach of data security concerning personal data, the controller will notify you in accordance with applicable law.

We may update this privacy policy from time to time, for example, whenever there are changes to our operations or legislation, or if we receive new guidelines from Kela pertaining to personal data processing. The latest version of this privacy policy or its content will always be updated on Taksi Helsinki’s website. This privacy policy was last updated in July 2024.

With regard to this privacy policy and as described above, Kela is the primary controller of your personal data, so please contact Kela first at tietosuoja@kela.fi if you have any questions about how your personal data is processed.

If, however, you have questions about how Taksi Helsinki processes your personal data in the role of controller, or processes data on Kela’s behalf, you can contact us.
