Privacy policy – Kela taxi joyrneys

This Taksi Helsinki Oy, 0838031-9, (”Taksi Helsinki”, ”we” or ”us”) privacy policy concerning the dispatch of taxis for journeys reimbursed by Kela outlines how the personal data of persons under the Health Insurance Act is collected, used, and transferred when such persons use Taksi Helsinki’s taxi dispatch services to complete journeys reimbursed by Kela. Taksi Helsinki and Kela have agreed a contract concerning the organisation of a taxi journey service, the combination of journeys, and dispatch, based on which Taksi Helsinki shall provide the aforementioned services by order of and on behalf of Kela.

It is important to us that you feel safe with regard to how we process your personal data. We will undertake all necessary measures to protect your personal data and in order for your personal data to be processed in accordance with applicable data protection legislation and the contract agreed with Kela.

Kela shall act as the primary controller for your personal data, which will be collected and processed in connection with taxi journeys reimbursed by Kela for purposes specified by Kela, such as for the provision of taxi dispatch and for journey combination and dispatch services subject to direct reimbursement under the Health Insurance Act. We will act as the personal data processor solely for fulfilling the purposes specified by Kela on Kela’s behalf so that we can implement the services outlined in the contract agreed with Kela. As controller, Kela is responsible for specifying the legal grounds for personal data processing and for other controller obligations laid down in data protection legislation. We are not responsible for personal data collected and processed by Kela, nor for the processing methods used. We may also act in a restricted capacity as controller if we process your personal data to handle feedback or to ensure our personal safety and protect our property by means of recording video surveillance. We process the following personal data by order of and on behalf of Kela: 

• Name
• Address information
• Personal ID number
• Information about basic social assistance payment commitments
• Personal data that is necessary for the provision of the taxi journey and direct reimbursement method (such as information concerning whether you need a special vehicle or additional space for mobility aids)

Please note that in addition to the above, Kela may process other personal data for its own purposes. 

In order to fulfil the purposes specified by Kela, Taksi Helsinki will carry out the following general personal data processing procedures:

• Reception of taxi bookings by telephone, text message, or online
• The distribution of the booking and related personal data with an available Taksi Helsinki carrier who has a valid contract to provide journeys reimbursed by Kela together with Taksi Helsinki
• Transfer of data concerning taxi journeys to Kela

We share your personal data that is necessary for the provision of the taxi booking with the carrier so that we can provide you with the services outlined in the contract agreed with Kela. In addition, we may also transfer your personal data to our subcontractors, who process personal data on our behalf. Such subcontractors include the taxi dispatch system provider, the telephone system provider, and the IT infrastructure service provider.

As controller, Kela determines the storage period of your personal data in order to fulfil its purposes. Kela’s privacy policy contains information about the storage periods specified by Kela.

Taksi Helsinki has implemented the procedures necessary to ensure that all of your processed personal data remains confidential and protected. We always take appropriate technical and organisational precautions to prevent and minimise risks related to data processing. Such precautions include the use of a firewall, access management systems (manual and electronic), personnel training, protected server rooms, and data encryption.

Under applicable data protection legislation, you have some rights relating to the processing of your personal data, such as the right to access your personal data and the right to have inaccurate data rectified. If you decide to exercise your rights, please first contact Kela.

In order to exercise your rights in relation to personal data that has been processed by Taksi Helsinki as controller, you can contact us at any time as specified in section 8.

With regard to this privacy policy and as described above, Kela is the primary personal data controller, so please contact Kela first if you have any questions about how your personal data is processed.
